Just Client Consulting (Pty) Ltd ("Just Client", "we", "us") operates JustProcure, an e-procurement platform used by buyer organisations to run tender processes and by suppliers to find and respond to them. This policy explains what personal information we collect through JustProcure, why we collect it, and the rights you have over it. It is written to align with South Africa's Protection of Personal Information Act 4 of 2013 ("POPIA").

1. Introduction

This policy applies to everyone who uses justprocure.co.za - suppliers who register a company profile, individual users acting on behalf of a buyer organisation, and visitors who only subscribe to tender alerts without creating an account. If you don't agree with this policy, please don't use the platform.

2. Information we collect

We collect different information depending on how you use JustProcure:

• Account and profile information - name, email address, phone number, and job title for individual users; company registration number, B-BBEE status, industry classification, trade references, shareholders and company contacts for a supplier's company profile.
• Tender activity - the tenders you bookmark, the responses and supporting documents you submit, questions you ask, and briefing session RSVPs.
• Buyer organisation data - the tenders, evaluation scores, contracts, requisitions, purchase orders and disposal cases a buyer organisation's own users create and manage through the platform.
• Tender alert subscriptions - just an email address, a category and up to five keywords. This doesn't require an account or login - see section 10.
• Technical information - IP address, browser type, and activity logs, collected automatically to keep the platform secure and working correctly.

3. How we use your information

• To create and administer your account and your company's profile.
• To let suppliers discover, respond to, and track tenders, and let buyer organisations publish, evaluate and award them.
• To send transactional emails - tender invitations, submission confirmations, briefing reminders, closing-date reminders for bookmarked tenders, and tender alert digests.
• To investigate misuse of the platform and keep it secure.
• To meet our own legal, tax and record-keeping obligations.

We do not sell your personal information, and we do not use it for third-party advertising.

4. Our legal basis for processing

We process personal information on one or more of the following grounds recognised by POPIA:

• Performance of a contract - running your supplier or buyer account and the tender processes you take part in.
• Consent - for optional communications, such as tender alert subscriptions, which you can withdraw at any time.
• Legitimate interest - keeping the platform secure, preventing abuse, and improving reliability.
• Legal obligation - where we're required to keep or disclose records, for example under tax or procurement-related legislation.

5. Sharing your information

When a supplier responds to a tender, the relevant parts of that supplier's profile and submission are shared with the buyer organisation running that tender, and with its evaluation and adjudication panel members - that's the core purpose of the platform. We also share information with:

• Service providers who host our infrastructure or send email on our behalf, under contractual confidentiality obligations.
• Regulators or law enforcement, where we're legally required to.
• A successor entity, in the event of a merger or acquisition of Just Client Consulting.

We don't share your information with any other third party for their own marketing purposes.

6. How long we keep it

We keep account and tender-related records for as long as your account is active, and afterwards for as long as needed to meet procurement record-keeping, audit and legal obligations typically applicable to tender processes. Tender alert subscriptions are kept until you unsubscribe using the link in any alert email.

7. Your rights

Under POPIA, you have the right to:

• Ask us to confirm what personal information we hold about you, and request a copy of it.
• Ask us to correct information that is inaccurate, out of date, incomplete or misleading.
• Ask us to delete or stop processing information we no longer have a lawful basis to hold.
• Object to processing based on legitimate interest, or withdraw consent you've previously given.
• Lodge a complaint with South Africa's Information Regulator (inforegulator.org.za) if you believe we've handled your information unlawfully.

8. Security

We use technical measures appropriate to the sensitivity of the information involved - including encrypted connections, access controls limiting who within Just Client and a buyer organisation can see what, and activity logging - to protect your information against loss, unauthorised access, and disclosure. No system is completely immune to risk, and we continue to review and improve these measures.

9. Cookies

JustProcure uses strictly necessary cookies to keep you signed in and to remember basic preferences (such as your last search filters). We don't use third-party advertising or tracking cookies.

10. Tender alert subscriptions

Subscribing to email tender alerts doesn't require registering an account - we only hold the email address, category, and keywords you provide, plus which alerts have already been sent to avoid repeating them. Every alert email includes a one-click unsubscribe link, after which we stop using that email address for alerts.

11. Children's privacy

JustProcure is intended for use by businesses and professionals, and isn't directed at children. We don't knowingly collect personal information from children.

12. Changes to this policy

We may update this policy from time to time, for example as our practices or the law change. We'll update the "Last updated" date above when we do, and for material changes we'll take reasonable steps to let registered users know.
